Dear Club and Organization Representative:
The Department of Leadership & Involvement has purchased a new data-base system which will be live for annual registration and new group registration October 2008. In order to register your group you will need to follow these instructions:
- At least one representative from your group is required to attend the Fall Kick-off Club & Organization Orientation on October 8, 5 – 8 p.m. in the Memorial Union Ballroom.
- At least one representative is required to attend a database training/registration session. You will not be able to register without attending one of these sessions.
Sign up for a training/registration session at the Fall Kick-off Club and Organization Orientation on Wednesday, October 8th from 5:00 to 8:00pm in the MU Ballroom. This orientation will include pizza, beverages, door prizes and the opportunity to network with others.

Benefits of Recognized Organizations
- Free use of most of the facilities on campus for regularly scheduled business meetings and special events
- Discounted rates for use of prime facilities use when an admissions fee is charged

Now that you know the benefits, here’s how to become an official club.
Registration Process
- New Clubs
- New clubs can register and be recognized at any time; however, to make the most out of the benefits of being a recognized organization, the earlier the better, the best being by the end of October.
- Go to Annual Registration Form
Information you will need to fill out form:
· Organization name and nickname
· Organization contact information: email, physical address, website (OSU email addresses)
· Contact information for at least five student members
· Contact information of the faculty advisor
· Financial account information (may be added at a later time)
· Meeting information (can be updated)
· Organization's University department affiliation if it applies.
- Send new constitutions electronically to Memorial Union Programs, mupcadmin@oregonstate.edu. If you need help, don’t hesitate to stop by MU 103 or review the sample constitution.

- Attend the MU Programs Fall Kick Off. This is a fun way to find out about University policies, resources, funding opportunities, and to network with other student organizations – pizza and giveaways.
- Meet with the Student Activities Committee. Check with MU Programs for meeting times. 737-1369
*If your organization appears to be high risk or having special needs, a separate organization consultation will be scheduled to determine whether risk/liability stipulations have been met prior to your being moved forward to the Student Activities Committee for recognition.
- Existing Clubs
- Be sure to renew registration by the end of October to stay on the active list and keep benefits.
- If your club has been inactive for one year, you will need to go through the same registration process as a new club.

Along with benefits come responsibilities.
All events organized by a club and open to the public, including information booths, philanthropies and fund-raisers must be registered. Bigger, complicated events need to be registered at least two weeks before the event. http://oregonstate.edu/getinvolved/new5/evSelectEventSponsorCategory.php
Responsibilities of Recognized Organizations

In order for a student organization to be recognized they must meet the following criteria:
- Have a clearly defined lawful purpose;
- Agree to conduct affairs in a lawful and ethical manner and in accordance with their constitutions and bylaws, as well as in accordance with University policies and procedures, city ordinances, state statutes, and Federal laws;
- Demonstrate compliance with OSU's prohibition of discrimination on the basis of race, color, national origin, religion, gender, sexual orientation, age, marital status, disability, disabled veteran and Vietnam-era veteran status except for those gender qualifications directly relevant to the organizational purpose;
- Send at least one representative of the organization to the annual Student Club Kick Off fall term; submit an Annual Recognition Form to report current leaders and advisors, with current contact information.
- Require student leaders to meet or exceed the minimum academic standards for holding leadership positions as follows: maintain a cumulative GPA of 2.0 (3.0 for graduate students) not be on disciplinary probation and be currently enrolled for at least 6 credits at OSU and pay student fees;
- Agree that organization will maintain at least 51% of total membership as currently enrolled Oregon State University students;
- Organizations are required to have an advisor who is a member of the University faculty, as defined by the OSU Faculty Senate rules for representation. Classified staff members and research assistants approved by MU Programs may also serve as advisors;
- Have an adequate system of accounting for organization funds;
- Review its constitution annually and submit any changes to Memorial Union Programs. (Significant constitutional revisions may be referred to the Student Activities Committee.)
Now that you are official--want to put on a public event?
Student organizations must register all open events and certain closed events a minimum of two weeks before the event. Larger more complex events need to be registered farther out, at least 6 to 8 weeks. Once you have registered, a contact person will work with you to support you in your event planning.
